Future entries note

Some entries for this project are dated in the future, so they are left out of these figures. Correct them on the Report tab.

Example. Maya's laptop clock was a day ahead when she tracked one Brightleaf Bakery entry, so its hours dropped out of the budget. She finds it on the Report tab and corrects the date.

Step-by-step in the guide

Budget strip

The budget left on the project being tracked: money and time remaining and the share used. It turns red when the budget is overrun.

Example. While Maya works on Brightleaf Bakery's "Brightleaf Website", the strip shows how much of the fixed price is left, so she notices before the job goes over.

Step-by-step in the guide

Hours or working days

Click to switch the time left between hours and working days. A day is the daily target set on Settings. Your choice is remembered.

Example. Maya finds "4 working days left" easier to plan around than "30 hours left", so she clicks to show days.

Step-by-step in the guide

Cancel

Closes this form and discards what you typed. Do not bill, where it is offered, is the exception: it applies as soon as you tick it.

Example. Maya opens an entry, starts changing the end time, then realises it was right after all. She presses Cancel and the entry is unchanged.

Step-by-step in the guide

Reason for change

Required because this entry is already on an invoice. The reason is kept in the audit trail.

Example. Maya moves an invoiced hour from "Brightleaf Website" to "Routine updates" and writes "Wrong project picked", so the audit trail explains the change if Brightleaf Bakery asks.

Step-by-step in the guide

Check times

The start and end of this entry cannot both be right, so it would show a negative duration. Edit it and correct whichever time is wrong.

Example. After Maya's laptop clock reset, one entry says check times. She sets the clock right, then edits the entry's start time.

Step-by-step in the guide

Confirm delete

Deletes this invoiced entry for good, and records the reason you gave.

Example. Maya billed Brightleaf Bakery for a meeting that was cancelled. She deletes the entry, gives the reason "Meeting cancelled, credited to client", and confirms.

Step-by-step in the guide

Delete entry

Deletes this entry after you confirm. An entry that is already on an invoice also needs a reason, and the deletion is logged.

Example. Maya pressed Start task by mistake and has a 10-second entry with no note, so she deletes it.

Step-by-step in the guide

Cancel delete

Closes the delete form without deleting the entry.

Example. Maya pressed delete on the wrong entry. She cancels, and nothing is lost.

Step-by-step in the guide

Reason for deleting

Required because this entry is already on an invoice. The deletion and your reason are logged in the audit trail.

Example. Maya writes "Duplicate of the 10:00 entry" before deleting an invoiced entry, so the record shows why the hours went.

Step-by-step in the guide

Do not bill

Marks this entry as never to be invoiced, or makes it billable again. It is not offered for an entry that is already invoiced or still running.

Example. Maya spent half an hour fixing her own mistake on the Brightleaf Bakery menu page, so she marks that entry do not bill.

Step-by-step in the guide

Do not bill badge

This work is marked as never to be invoiced. It still counts as time worked in reports and totals.

Example. The badge reminds Maya that this half hour won't appear on Brightleaf Bakery's invoice, though it still counts in her week.

Step-by-step in the guide

Do not bill

Marks this work as never to be invoiced, such as pro-bono time. It applies the moment you tick it, not when you press Save.

Example. Maya ticks Do not bill on a favour for a friend's café. It takes effect straight away, so it stays marked even if she then cancels her other changes.

Step-by-step in the guide

Edit entry

Change this entry's start, end, summary or project. An entry that is already invoiced needs a reason, which goes in the audit trail.

Example. Maya forgot to stop the timer before lunch, so she edits the entry and moves the end time back to 12:30.

Step-by-step in the guide

Invoice link

This entry has been billed on this invoice. Click to open the invoice PDF.

Example. Sam asks which invoice covered Tuesday's work. Maya clicks the link on Tuesday's entry and the invoice PDF opens.

Step-by-step in the guide

Entries

The time entries for this list. Each one can be edited, marked do not bill, or deleted.

Example. At the end of the day Maya runs her eye down the list to check every Brightleaf Bakery entry has a sensible note.

Step-by-step in the guide

Project

The project this time belongs to. Its client, rate and colour come from the project. Pick from the list, use Browse… to find it by client, or type a new name to create a project.

Example. Maya realises a call was for Brightleaf Bakery's "Brightleaf Website", not "Admin", so she changes the project on the entry.

Step-by-step in the guide

Save

Saves your changes to this entry.

Example. After correcting the end time of her morning entry, Maya presses Save and the day's total updates.

Step-by-step in the guide

Summary

A short note on what was done. It appears on reports and in an invoice's work detail.

Example. Maya changes "stuff" to "Menu page: price list and photos" before the week's report goes to Brightleaf Bakery.

Step-by-step in the guide

Start and end

When the work started and ended. You cannot move a time to later than now, because work cannot have been done in the future.

Example. Maya started the timer ten minutes late, so she moves the start back from 9:10 to 9:00. If the new time overlaps another entry, a yellow message tells her so.

Step-by-step in the guide

Show archived projects

Lets the project picker offer projects you have archived, for the odd entry that still belongs to one.

Example. Brightleaf Bakery's menu page project is archived, but Maya has one late call about it to record, so she lets the picker show archived projects.

Step-by-step in the guide

Start task

Starts the timer on what you typed above, tagged with the chosen project. Time counts until you stop or switch. Disabled when the trial has ended and no licence is loaded.

Example. At 9:00 Maya types "Menu page layout", picks Brightleaf Bakery's "Brightleaf Website" project and presses Start task.

Step-by-step in the guide

Stop

Stops the timer and saves the entry. A running task can always be stopped, even when the trial has ended.

Example. Maya stops the timer when she breaks for lunch at 12:30.

Step-by-step in the guide

Switch task

Closes the running entry, saving its note, and starts a fresh one in the same click. The new entry starts with no project, so pick one. Use it when you move from one piece of work to the next. Disabled when the trial has ended and no licence is loaded.

Example. At 10:30 Maya finishes on Brightleaf Bakery and moves to her bookkeeping. She presses Switch task, then types "Bookkeeping" in the emptied note box and picks "Admin".

Step-by-step in the guide

Time entry

One block of time you worked: when it started and ended, how long it was, what you did, and the project (with its client) it belongs to. The coloured square is the project's colour.

Example. One of Maya's entries reads 9:00 to 10:30, 1:30, "Menu page layout", Brightleaf Website, Brightleaf Bakery, with the project's colour beside it.

Step-by-step in the guide

Timer

Starts, switches and stops the timer. Whatever you track becomes an entry in the list below.

Example. Maya keeps TimeTracker open beside her design tools and uses the timer all day: start in the morning, switch between clients, stop in the evening.

Step-by-step in the guide

Project

The project this work belongs to, and so the client it is for. Pick one from the list, use Browse… to find it by client, or type a new name to create a project. Leave it empty for time with no project.

Example. Maya types "Bright" and picks "Brightleaf Website" from the list before pressing Start task, so the time is billed to Brightleaf Bakery.

Step-by-step in the guide

Task note

What you are about to work on. It becomes the note on the entry when you press Start task.

Example. Maya types "Homepage hero image" before she starts, so the entry already has a clear note for Brightleaf Bakery's report.

Step-by-step in the guide

Running task note

A note on the task that is running. It is saved when you click away from the box.

Example. Halfway through, Maya's task grows from "Menu page" to "Menu page and allergen table", so she updates the note and clicks away.

Step-by-step in the guide

Future work marker

This project has work dated in the future, which is left out of the budget figure. When this project has a budget and is the one running, the budget strip says how many and how much; the Report tab shows which entries.

Example. The marker beside "Brightleaf Website" tells Maya one entry has the wrong date. She opens the Report tab to find it.

Step-by-step in the guide

Project today

Time on this project today and, if the project has a budget, how much of it is left.

Example. Maya sees she has done 4 hours on "Brightleaf Website" today and that the budget has about 20 hours left.

Step-by-step in the guide

Today's total

All the time tracked today, including the task running now. Click it to open a breakdown by project.

Example. At 17:00 Maya checks today's total to see whether she has done her six hours before she shuts the laptop.

Step-by-step in the guide

Today by project

Shows or hides today's time split by project, with the budget left on each project that has one.

Example. Maya opens the breakdown to see how her day split between Brightleaf Bakery and admin.

Step-by-step in the guide

Week to go

How this week stands against your target: how much is left to go, that the target is met, or how far over it you are.

Example. On Thursday afternoon Maya sees 6 hours to go against her 30-hour target and plans Friday around it.

Step-by-step in the guide

This week

Hours worked on projects this week, set against your weekly target if you have one. Time with no project is not counted in this figure.

Example. On Wednesday evening Maya's week shows 17 hours against her 30-hour target.

Step-by-step in the guide

No project this week

Time tracked this week with no project. It is not included in the weekly total, so this is where the missing hours went.

Example. Maya's week looks two hours short. This shows two hours with no project, from a call she forgot to tag, so she edits the entry and adds the project.
